How to Submit an Architectural Review Request (ACC / ARC)

If you plan to make any exterior change to your home or add a temporary or permanent structure, you must submit an Architectural Review request and receive approval before starting work.

Submitting a request after work has already started may result in enforcement action.

Step 1: Submit a Formal Request Online

All Architectural Review requests must be submitted through FirstService Residential Customer Support.

Do not email board members or management requesting approval.
You must submit a formal request online for it to be reviewed by the ACC Committee.

Step 2: Fill Out the Request Form

When completing the form, enter your information and follow the on-screen prompts.

You will be asked to provide:

  • Your full name and contact information

  • Your property address

  • Association name (Oaks at San Gabriel)

  • Request type related to Architectural Modification Request

  • A description of the proposed change

You should clearly describe what you want to do and where on the property the change will occur.

Step 3: Attach Plans or Supporting Information

Your request should include any relevant documentation, such as:

  • Drawings, sketches, or site plans

  • Photos (existing condition and/or proposed materials)

  • Product information or specifications, if available

Incomplete submissions may delay review.

Step 4: Review Fee

  • There is a $35 review / processing fee

  • The application will not be reviewed until the fee is submitted

Management will provide payment instructions if needed.

Step 5: Review Timeline

  • Architectural Review requests may take 30–45 days

  • Do not begin work until written approval is received

Submitting a request does not guarantee approval.

Examples of Changes That Typically Require Review

The Association’s governing documents require review for many exterior changes.
Common examples include (but are not limited to):

  • Fences or fence modifications

  • Exterior paint or stain changes

  • Sheds or storage structures

  • Pergolas, gazebos, or patio covers

  • Decks or hardscaping additions

  • Solar panels

  • Exterior lighting additions or changes

  • Roof replacements or material changes

  • Landscaping changes that alter the exterior appearance

If the change is visible from outside the home, approval is usually required.

When in doubt, submit a request before proceeding.

  • Starting work without approval may require removal or correction

  • All requests are reviewed in accordance with the Association’s Bylaws and governing documents
