Oaks at San Gabriel Amenity Access Credentials

Oaks at San Gabriel uses an electronic access system for the community pool and restroom facilities. Residents may access the amenities using either digital mobile credentials through PDK Access or a physical FOB issued through the Association.

The previous physical FOB system has been retired. Old physical FOBs are no longer active and cannot be used to access the pool or restroom areas.

Credential Policy

What does each household receive?

Each household is allowed one complimentary amenity access option.

Homeowners may choose either:

  • Two digital FOBs / mobile credentials, or

  • One physical FOB

This complimentary option is provided at no additional cost.

A household does not receive both two free digital credentials and one free physical FOB. Each household must choose one complimentary option.

Can I request additional FOBs or mobile credentials?

Yes. Additional credentials may be requested, subject to Association approval and the household limit.

Any credential requested beyond the complimentary option is $50 per FOB or mobile credential.

Is there a limit on the number of FOBs per household?

Yes. Each household may have a maximum of four active credentials total.

This includes any combination of:

  • Digital FOBs / mobile credentials

  • Physical FOBs

  • Owner credentials

  • Tenant credentials

For example, a household may not have four owner credentials plus additional tenant credentials. The limit is four active credentials total per household.

How much do additional credentials cost?

Additional approved credentials are $50 each.

This applies to:

  • Additional mobile credentials

  • Additional physical FOBs

  • Replacement credentials, when applicable

  • Any credential requested beyond the complimentary household option

What if I previously paid for a physical FOB?

If a household previously paid for a physical FOB under the old system, the Association may replace that paid FOB on a one-for-one basis.

For example, if you previously paid for one physical FOB, you may receive one replacement credential for that previously paid FOB.

Digital Access

What is a digital FOB?

A digital FOB, also called a mobile credential, allows residents to access the pool and restroom areas using the PDK Access app on their mobile phone.

This is now the standard access method for the amenity areas.

How do I activate my digital FOB?

Eligible residents will receive an email from PDK Access with instructions to:

  • Download the PDK Access app

  • Activate the mobile credential

  • Set up access on their mobile device

  • Begin using the amenity access system

Please follow the instructions in the PDK email to complete activation.

What if I did not receive the PDK activation email?

If you did not receive the activation email, please contact FirstService Residential.

This may happen if the Association does not have your current email address on file or if your invitation needs to be resent.

What if my email address or phone number is wrong?

Please update your contact information with FirstService Residential. The mobile access invitation must be sent to the correct resident email address.

Physical FOBs

Can I still request a physical FOB?

Yes. A physical FOB may be requested as the household’s complimentary access option.

Each household may choose one complimentary physical FOB instead of two complimentary digital FOBs.

Additional physical FOBs, if approved, are $50 each and count toward the household maximum of four credentials.

Do old physical FOBs still work?

No. Existing physical FOBs from the prior system are no longer active because the amenity access system has been upgraded.

Old FOBs cannot be reactivated under the new system.

What if I lose my physical FOB or lose access to my phone?

If you lose a physical FOB or lose access to a phone with an active mobile credential, contact FirstService Residential as soon as possible.

Lost or compromised credentials can be deactivated to help prevent unauthorized access.

Replacement credentials may be subject to the current credential fee.

Tenant Access

Can homeowners share their access credential with tenants?

No. Homeowners may not forward, share, lend, or transfer their personal access credentials to tenants.

Tenant access must be activated directly through FirstService Residential so the correct residents are listed in the access system.

How do tenants receive amenity access?

To activate tenant access, the homeowner or property manager must provide:

  • A copy of the current lease agreement

  • Updated tenant contact information

Once the required information is received, management can activate tenant access.

Do tenant credentials count toward the four-credential household limit?

Yes. The four-credential limit applies per household/property.

Tenant credentials count toward the total number of active credentials for that home.

For example, if a rental property already has two active tenant credentials, only two additional credentials may be active for that household.

What happens when a lease ends?

When a lease ends, tenant access should be removed from the amenity access system.

Homeowners and property managers are responsible for keeping tenant information current with FirstService Residential. This helps ensure former tenants do not continue to have access to community amenities after they are no longer residents.

Sharing, Security, and Misuse

Can I share my digital FOB or physical FOB with someone else?

No. Access credentials may not be shared, forwarded, loaned, copied, or transferred to unauthorized users.

Each credential is assigned for amenity access purposes and must only be used by the authorized resident or household it was issued to.

Sharing credentials creates a security issue and may result in suspension of amenity privileges.

Why are credentials monitored?

The access system keeps activity records for security and enforcement purposes.

These records may be used to help investigate issues such as:

  • Unauthorized entry

  • Door or gate propping

  • Vandalism

  • Damage

  • Misuse of restroom facilities

  • Tampering with amenity equipment

The purpose of the system is to protect shared community amenities.

Can the Association deactivate my credential?

Yes. Amenity access may be suspended or deactivated when permitted under the governing documents and applicable law.

This may include situations involving:

  • Delinquent assessments

  • Rule violations

  • Unauthorized sharing of credentials

  • Propping open gates or doors

  • Vandalism

  • Tampering with amenity equipment

  • Misuse of the pool or restroom facilities

  • Other conduct that creates a safety, security, or property damage concern

Why can’t pool gates or bathroom doors be propped open?

Pool gates and bathroom doors may not be propped open under any circumstances.

Propping doors open defeats the purpose of the access system and allows unauthorized individuals to enter the amenity areas. It also creates safety, security, and liability concerns for the Association.

Residents who prop open gates or doors may be subject to violations, fines, repair charges, and suspension of amenity access.

Pool and Bathroom Access Reminders

What are the guest rules?

Each household may bring up to four guests unless otherwise approved by the Association.

Guests must remain accompanied by the resident at all times while using the amenities.

Residents are responsible for the conduct of their household members and guests.

Can children use the restrooms by themselves?

Children under 13 should not use the restroom facilities unattended.

Parents and guardians are responsible for supervising children and ensuring the restrooms are used properly.

What behavior can result in fines or suspension of access?

Amenity privileges may be suspended, and additional enforcement action may be taken, for violations including but not limited to:

  • Sharing or forwarding access credentials

  • Allowing unauthorized entry

  • Propping open gates or bathroom doors

  • Vandalism

  • Tampering with locks, readers, doors, cameras, or equipment

  • Misuse of restroom facilities

  • Failure to clean up after use

  • Placing household trash in amenity trash cans

  • Climbing on amenity buildings or rooftops

  • Damaging Association property

  • Violating posted pool, restroom, or amenity rules

Depending on the situation, enforcement may include suspension of amenity access, fines, repair charges, or law enforcement involvement.

New Homeowners

What if I recently purchased a home in Oaks at San Gabriel?

New homeowners should contact FirstService Residential to set up amenity access.

Amenity credentials are tied to the property and authorized residents. Access from the prior owner should be deactivated, and new access should be set up under the new homeowner’s information.

What if I sell my home?

When ownership changes, the seller’s access should be deactivated and the new homeowner will need to set up access through FirstService Residential.

Physical FOBs should not be treated as personal property that can be sold or transferred outside of the Association’s access process.
